For many years, we have been silently building out the foundation that your agency will be able to use. We've been running call centers and BPO offices in the Philippines studying how to squeeze the most productivity out of our teams.
Since we started, we have run a proprietary software in our offices that handles the task management and the billing systems. When the world locked down in 2020 we had to close our physical offices and send everyone home. This was hard to deal with in the moment but it turned out to be a blessing for us in the long term. Initially, we saw a significant drop in production when we sent everyone home, but we continued to innovate and develop our systems and software. Then, by the end of the year we found the success we were looking for when we were able to track KPIs on the work from home teams that were actually better than what they were producing in the office!
Building up to this kind of turbocharged production was not an easy feat and it cost us hundreds of thousands of dollars in development costs in order to reach our goal. However, now that we've cracked the code of ultra high efficiency production we are looking forward to sharing everything we know with you and allowing the benefits of our systems to flow straight onto your bottom line.

During the application process we will ask questions regarding the details of your business so we can decide if we are going to be able to work together. We are looking to work with companies who have a proof of concept established and have reached the point where they are making sales but are having issues with fulfillment. What Does The System Do?
We will provide you with the same tried and true fulfillment team structure that we use for all of our accounts. There will be the front line workers who will be the ones completing the tasks and then there will be a management structure in place that will make sure the team is contantly operating at peak performance. The team will have a Team Leader who will be managing the workers throughout the day, and there will also be an Account Manager, who is assigned to watch over the Team Leader and the overall productivity of the team.
TaskFunnels Support Team Access Included
In addition to the Virtual Assistants managing tasks, you'll also have access to the TaskFunnels PRO™ administrative team. Our system offers more than just software; it provides access to a complete Technical Team for comprehensive support, available whenever your company requires assistance. They can assist with essential functions such as payroll, invoicing, setting up new clients, and onboarding new team members.
Custom Branded Web App Included
We'll integrate your current branding into the TaskFunnels PRO™ instance and set it up on a subdomain of your website. This web application is designed to offer a personalized login section for your clients. It seamlessly integrates with time tracking and billing systems linked to TaskFunnels PRO™. This application enables your clients to effortlessly log in and monitor the real-time progress of their tasks carried out by the support team. Additionally, it provides task portals for your team to efficiently manage their tasks and time tracking during their workday.
CRM Included
TaskFunnels PRO™ members will receive two instances of our branded Go High Level CRM. One is designated for client interactions, while the other is intended for communication with internal workers. These CRMs are versatile tools for managing client data and tracking activity for both clients and internal team members. With features like SMS, Email, and integration with FB messenger accounts, you can centralize all communication within the CRM platform.
What Is The Cost?
The setup of this system is structured to minimize initial costs. We offer wholesale access to our labor and operate on a profit-sharing model, ensuring that we only earn once you start making profits. The profit-sharing percentage varies for each client, and we require you to complete the application process before we are able to disclose this information.
In our experience with clients, we've learned that transparency is vital. That's why we've established a system where clients can access real-time details of their tasks. The level of access is customizable. With our default setup, clients can easily log in and see the exact time spent on each task and read notes from anyone who has worked on it. This access ensures that clients and contractors are always in the loop without the need for constant updates from you or the project manager.
We've identified a common issue among contractors: their task management and time tracking systems often lead to inefficiencies, resulting in unnecessary downtime and potentially inflated billed hours. To address this challenge, we've introduced user-friendly task portals within the TaskFunnels Pro® Agency Operating System. These portals empower contractors to navigate tasks smoothly, ensuring accurate time tracking and monitoring project progress. Furthermore, the system automatically captures screenshots of their work to enhance transparency. Our TaskFunnels support team excels at onboarding new agents, simplifying the process. Just notify our support team when adding a new contractor, provide their details, and we'll promptly set up their agent portal and other necessary tools. Additionally, we'll seamlessly integrate a Hubstaff time clock account to precisely monitor their work hours and activities during setup.
The TaskFunnels system is designed to effortlessly store the details of any new clients who join your platform directly into your Stripe account. This feature enables you to automatically charge them for the services provided at the end of each week. You have the flexibility to bill clients based on hourly rates, flat task rates, or a simple recurring retainer. If you opt for assistance with billing, our trained staff members are ready to handle weekly or monthly billing tasks on your behalf. If you delegate billing tasks and utilize an hourly billing model, here's an outline of the process they'll follow: They'll start by generating timesheet reports to calculate the total hours billed for the week. Then, they'll create detailed invoices for each client, including task names and billed time as line items. After generating the invoices, they'll charge the clients' cards on file for the invoiced amount and promptly send a copy of the paid invoice via email. As billing transactions occur directly from your Stripe account, all card information remains secure, and funds are seamlessly transferred to your bank account for each billing cycle. Once the system is set up and running, it can feel like you've gained your own automated revenue generator!
Ensuring timely and accurate payments for your contractors is crucial for keeping them satisfied and retained. Our efficient system has facilitated the smooth payout of numerous workers effortlessly. Just like client billing, if you prefer, you can rely on the TaskFunnels support team to handle administrative tasks for you. You can assign one of our trained team members to manage all contractor payouts on your behalf. Naturally, managing payouts for larger teams requires more time compared to smaller ones. To ensure fairness, we charge by the hour for processing payroll. However, even with clients that have larger teams, they rarely exhaust their monthly allotment of hours. This approach ensures you receive customized assistance while upholding transparency and efficiency in the payout process.
In addition to setting up Client Portals for new clients, we provide the configuration of other vital tools as part of our all-inclusive service package. We recommend creating a separate Slack channel for each client and inviting them as guests, promoting seamless communication. Moreover, we propose establishing a dedicated Google Team Drive for each client, making it easier to share files between your team and the client. This holistic strategy guarantees effective collaboration and streamlined workflow management for everyone involved.
We're thrilled to take care of the setup process for all new contractors, ensuring they have access to all necessary tools. Alongside their agent portal, we'll establish their Slack, Google, and Hubstaff accounts. Additionally, we'll provide them with comprehensive tutorials detailing how to effectively utilize their agent portal for task processing and time tracking. This support minimizes the time needed for basic training, giving your team the freedom to focus on other priorities that will help scale your business. Once the Contractor has been set up their Team Leader will train them on their daily tasks.
Through our Virtual Cubicle System on Zoom, we've effectively recreated an office-like environment, fostering maximum productivity among your remote workers. This system features continuous screen recordings throughout their shifts, enabling monitoring and communication at any time. We handle meeting setups and provide prerecorded trainings to ensure everyone is well-versed in the Virtual Cubicle system and its features. With this system, contractors are held accountable, as each shift concludes with a detailed video screen recording showcasing their work. Implementing this method often leads to a significant increase in production and accountability among remote teams. Just one paid Zoom membership can accommodate up to 50 workers, and our included training provides guidance on optimizing meeting efficiency for improved productivity. If you need assistance with team quality control, our TaskFunnels Support team is available to conduct random checks on your workers. This proactive approach fosters motivation among workers to maintain focus and productivity throughout their shifts, knowing that periodic checks ensure accountability and consistent performance.

Your partnership will provide you with access to two subaccounts within the TaskFunnels version of the Go High Level CRM System. One subaccount is dedicated to HR functions, while the other is specifically designed for client and lead tracking. This CRM enables you to efficiently organize your operations and offers a comprehensive set of automation tools, making communication and engagement with your contractors, clients, and leads much simpler.
